Each client in KeepSight has a detailed record accessible from Clients in the sidebar. The client record is the central hub for everything related to that child’s journey through your practice.
What’s on a client record
Header. Client name, age (calculated from date of birth), preferred name, priority badge (high/medium/low/refer out), current pipeline stage, and action buttons.
Demographics. First and last name, preferred name, date of birth.
Insurance. Primary and secondary payors, ABA coverage flag, out-of-network flag.
Financial. Deductible remaining, max out of pocket, financial counseling status.
Clinical. ASD/autism diagnosis flags, recommended service modality (in-home, clinic, telehealth).
Location. Zip code, distance to clinic, availability (day and time slot matrix).
Source tracking. Referral source, how they heard about you, referral details.
Priority. An auto-calculated score based on wait time, insurance type, diagnosis status, and geographic proximity. You can manually override this.
Tabs on the client record
Below the header, you’ll find sections for the client’s household and contacts, service enrollments, authorizations, documents, contact logs, and activity timeline. Each of these is covered in its own help article.
Finding clients
Go to Clients for a searchable, filterable table of all clients. You can filter by pipeline stage, priority, service type, region, payor, or referral source. Full-text search works on client name.
Things to know
- Only admins can delete a client record. Other roles can remove a client from the pipeline (which changes their stage to Removed) but can’t delete the record itself.
- The activity timeline at the bottom of the record shows every state change, who made it, and when. This is your audit trail.
