KeepSight tracks document collection for each client — diagnosis reports, insurance cards, consent forms, and whatever else your practice requires.

Document statuses

Each document type has a status: requested, received, waived, or expired. Documents can also have expiry dates, and the system tracks collection completeness across all required types.

How documents connect to the pipeline

The Required Documents gate can block a pipeline transition until specific documents are received or waived. For example, you might require a diagnosis report before a client can move to the assessment stage.

Your admin configures which document types are required and at which stage they’re expected in Admin → Document Types.

Expiration tracking

Documents with expiry dates are monitored automatically. When a document is approaching expiration, it appears on the dashboard’s “Expiring Documents” card and triggers a notification.

Things to know

  • Document types are configurable per practice. Your admin sets these up in Admin → Document Types.
  • Waiving a document satisfies the gate — use this when a document isn’t applicable for a specific client.
  • KeepSight tracks document status, not the documents themselves. You’re not uploading files — you’re recording that a document has been received.
