Staff members — especially BCBAs — need to be credentialed with specific insurance payors before they can treat clients covered by those payors. KeepSight tracks this so you don’t accidentally assign a BCBA who isn’t credentialed with a client’s insurance.

How it works

Each staff member can have credentials for multiple payors. Each credential tracks: the payor, status (active, expiring soon, or expired), and expiration date.

Why credentials matter to the pipeline

The BCBA Credentialed gate checks that the assigned BCBA has an active credential with the client’s payor. If the BCBA isn’t credentialed, the client can’t advance past that gate. This prevents clients from getting stuck in onboarding because their assigned BCBA can’t actually bill their insurance.

Expiration tracking

The dashboard’s Expiring Credentials card shows credentials approaching their expiration date. Notifications are triggered based on the warning windows your admin configures.

Things to know

  • Credentials are managed on the staff member’s record under the credentials section.
  • When assigning a BCBA to a client, KeepSight considers credential matching — the staffing system is aware of which BCBAs can serve which payors.
  • Expired credentials block pipeline advancement. Make sure renewals are tracked before they lapse.
