Every clinician and support staff member in your practice has a record in KeepSight. Go to Staff Members in the sidebar to see your full team.
What’s on a staff record
Credential type. BCBA, BCBA-D, RBT, BCaBA, Trainee, or BT. This determines what the staff member can be assigned to do.
Employment. Full-time or part-time. Status follows a lifecycle: candidate → onboarding → in training → active → inactive/terminated.
RBT certification. Certification and expiration dates. KeepSight alerts you when certification is expiring within 60 days.
BT grace period. For payors requiring RBT certification, behavior technicians without RBT cert can have a grace period from their hire date. The system tracks remaining grace days per payor.
Availability. A day-and-time-slot matrix (Monday through Sunday, daytime/afternoon/evening) used for matching staff to clients.
Assignments. Primary region, primary service type, and insurance carrier. These feed into geographic and service matching when assigning staff to clients.
Caseload type. The kind of clients this staff member handles: PT only, afterschool, focused, or comprehensive.
Finding staff
The staff list is searchable and filterable by credential type, employment type, status, region, and service type.
Things to know
- Staff members are separate from user accounts. A staff member can exist in the system without having a KeepSight login.
- Status changes (e.g., candidate → active) are recorded in the activity timeline.
- You can also add staff in bulk via CSV Import.
